What are some things your office does to get patients to come in for their six month cleanings?

My office has several patients who only come to the dentist when they are hurting even if they have insurance. What can I do to get these patients to come in for regular cleanings?

My office won’t let them leave their current recall appointment without rescheduling. We also have a fee for no shows or cancellations that aren’t 24 hours in advance (of course there are always exceptions and this fee is for repeat offenders). We also have a superb receptionist that is on top of our patients’ recall. Our schedule is always full!

We prebook all of our recall appointments when they come in to see the Hygienist. For those who can’t schedule that far out, we use a program called Revenue Well that sends out email reminders and text messages. The majority of our patients have been very receptive and for those who aren’t still get a phone call.

We schedule their appointment 6 months in advance. It’s also all about verbage. Tell them, “We need to schedule your next appointment to reserve a spot for you.” If they know the times or days they want are highly sought after, they will more likely schedule.
Our office stays booked all the time.
If they don’t schedule, we they are put on an “unscheduled list” via our software, and we will send them a reminder post card a few months before they’re due. Systems work, so definitely use them! Good luck!

We only book out a couple weeks. We send out postcards to our patients the month before they are due to remind them. Our policy is to keep the schedule open enough to be able to see ERs especially if they are a recall patient.
